You successfully defended your thesis. The committee shook your hand and called you “Doctor.” You think you are finally done. You print out your massive 300-page Word document, ready to hand it over.
But then the university librarian stops you: “This isn’t formatted for Shodhganga.”
Under UGC regulations, every PhD thesis in India must be uploaded to Shodhganga (the INFLIBNET digital repository) before the final degree is awarded. The catch? You cannot just upload one giant file. The system has incredibly strict, outdated, and specific technical requirements. One wrong file name, and your upload is rejected.

1. The “Split PDF” Rule (File Naming Conventions)
Shodhganga requires you to break your beautiful, unified thesis into multiple, bite-sized PDF files. You cannot name them whatever you want. They must follow a strict sequential numbering system.

2. The Authentication Requirement
Your 02_certificate.pdf is the most important file. It cannot just be typed text. It must be a high-quality scanned copy of the physical certificate, containing the original signatures of your Guide/Supervisor, the HOD, and yourself, complete with official university seals. Additionally, your final Plagiarism (Turnitin/Urkund) report summary must be signed and included in the appendices.
3. The “80 Recommendation” Document
Many scholars miss this step completely. Shodhganga requires a separate file (usually named 80_Recommendation.pdf) which is a 1-2 page document listing the core findings and future recommendations of your research. This allows other researchers to quickly see the value of your work without downloading the entire thesis.
4. Margins, Fonts, and Watermarks
Before you convert anything to PDF, ensure your base Word document follows the exact UGC typography rules:
- Font: Times New Roman, 12 pt (14 pt for headings).
- Spacing: 1.5 or 2.0 line spacing.
- Margins: 1.5 inches on the left (for physical binding), 1 inch on all other sides.
- Watermarks: Check your university guidelines! Some universities require the university logo as a faint watermark on every single page of the PDF.
